Associate Business Manager

Salary : Between £25,000 and £40,000 per annum

Location : London 3/4 days per week. Flexibility to work from home 1/2 days per week.

We're looking for an enthusiastic and organised individual who will assist the Operations Team Lead with a variety of work around the business. The ideal candidate will be eager to learn and develop skills and happy to take on a diverse array of tasks and responsibilities with the ultimate goal of progressing in one area of the role.

Responsibilities

  • Business Manager
    • Responsible for coordinating various processes to enable the smooth running of Intrepid
      • Preparation of monthly invoices
      • Business Intelligence Pipeline
        • Provision of information to finance to enable the preparation of monthly accounts, preparation of business metrics information
      • Organisation of Intrepid branded merchandise
      • Organisation of Intrepid awards
      • Assisting HR with onboarding/offboarding processes for employees and contractors
  • Social / events coordinator
    • Responsible for arranging the Intrepid annual golf day
    • Responsible for arranging other external events (such as poker nights)
    • Responsible for arranging regular internal Intrepid social
    • Regular coordination of event details with any other people involved with managing or handling the event
  • Project Coordinator - Sales Cycle
    • Working with other key individuals through the sales process to ensure a smooth internal coordination of each sales opportunity through the sales cycle process including internal Executive and external client approvals and signatures where necessary.
      • Working with the Legal Team to get the necessary legal documents
        • NDAs, MSAs, and contract templates
      • Working with the Accounting Team to setup the client and engagement in Intrepid systems
        • Invoicing, financial tracking, banking accounts
        • Establishing payment details
      • Starting the resource management engine with the Delivery Coordinator and Technical Pre-Sales
        • Planning how the engagement will be staffed
        • Activating recruitment team if necessary
        • Ensuring that Technical Pre-Sales creates job specifications
  • Marketing Manager
    • Responsible for the marketing of Intrepid
      • Responsible for the implementation of Intrepid's marketing strategy
        • Online presence / social media
        • Organising the attendance of individuals to events and conferences
        • Organising Intrepid-held events, and coordinating the required team to hold the event
  • Recruitment coordinator
    • Coordination of recruiters and candidates with Personnel Supervisors for full time job roles
      • Ensuring good communication through a smooth recruitment process for all candidates, internal Intrepid personnel and external recruiters.
  • Legal Assistant
    • Assisting in the preparation of standard legal documents and organising the execution of documents
      • Sending NDAs
      • Creating new work orders
      • Creating new master services agreements / ISD agreements (with the guidance of the Head of Legal)
  • Office Manager
    • Responsible for the main office management, room bookings, guest notifications etc.
      • Communication with WeWork, access passes, keys etc
      • Room bookings
      • Guest notifications on the We Work app
      • Responsible for checking monthly invoices from We Work to ensure correct
      • Routinely checking the WeWork Mail Room for any letters, packages, or correspondence
      • Printing requirements
      • Answering the telephone
      • Voicing Intrepid office requests/complaints and managing resolutions with WeWork, and/or other relevant 3rd parties
      • Ensuring office supplies are stocked
      • Arranging with IT any additional technical equipment required
      • Design, Coordinate and manage any office relocation plans
    • Works from the office at least 3 days per week
